Business Value

If a project approver can't complete their approvals for a project in Microsoft Dynamics 365 Project Operations, transactions wait in a backlog. This backlog affects the organization's daily sales outstanding and cashflow. When approvers delegate their approval authority to another user, you clear the backlog faster. Use this feature to help during busy times or when approvers can't process approvals.

Feature Details

With this feature, a project approver can delegate their approval authority to another user for a specific project and time period. The delegated user goes to the approvals area in Microsoft Dynamics 365 Project Operations and approves records that wait for the original approver's approval. Use this feature when the original approver is out of the office and can't approve records, or when the volume of approvals is too large for one person.

Currently, you can delegate project approver permissions in the product by adding the delegated user as a team member and selecting Yes for project approver. However, this approach has several issues. The delegated user counts toward the 1,000 team member limit per project. For very large projects that near this limit, adding more team members causes problems. Also, when you add a team member, you give extra access that you might not want to give the delegated user. This extra access can include direct access to the project record and the work breakdown structure (WBS) unless you put other controls in place.

The Delegate Project approver feature offers a simpler and safer way to make sure approvals happen on time, even when the approver is unavailable. This feature helps prevent a backlog of unapproved transactions and stops an increase in the organization's day's sales outstanding.

            Many customers who previously used the project capabilities of the Project management and accounting module in the finance and operations architecture could not turn on the capabilities of the modern architecture of Project Operations in the same legal entity. This option is now available and is receiving continual enhancements in the 10.0.46 and 10.0.47 releases to support more customers and scenarios.

            The Use the modern architecture for existing legal entities with project data feature is for customers who are using our stocked/production order deployment type without the need for production orders or manufacturing. These changes allow customers who have used the Project Management and Accounting module in the past to enable the resource/non-stocked deployment type without having to reimplement their existing legal entity. Customers who want to continue using the capabilities in the stocked deployment type won't be impacted by any changes made in this feature.

            Changes in this feature include:

            • You don't need to close existing projects that you created in the Project Management and Accounting module before you enable the resource/non-stocked deployment type.

            • The system evaluates business processes to make sure it restricts deployment types. For example, you can only create invoices for Dataverse-based projects from Dataverse.

            • The system removes access or makes legacy functions read-only when those functions exist in both deployment types. For example, resource management and project work breakdown structures aren't editable in the finance and operations user interface for the resource/non-stocked deployment mode when you enable this feature. For projects you create in resource/non-stocked deployment mode, you can use Unified Resource Scheduling experiences for resource scheduling and Project for the Web experiences for project planning.

            • This wave enables more transaction types, reports, and processes for stocked projects. Earlier releases gave you journals, expense reports, and basic invoicing. These changes let users finish and close projects without doing a data migration.

              The Approvals feature will get an update of the UI experience for approvals in Project Operations. These UI changes show time approvals in a calendar grid, like the time entry creation grid. This grid lets an approver see and understand a larger volume of records at once. It also highlights the most relevant information so project managers can easily see which records need their attention. This feature hosts all approvals inside a form with tabs for each type of approval record. Each tab has an indicator of how many approvals of that type are pending review by the current user. This indicator gives project managers an easy way to understand where their attention is needed without having to select several menus. All previous functionality is available in a streamlined manner on this new time-phased view.
